YAM: leaders wanted

Want to get more involved in the inner workings of the young adult ministry at St Luke’s, but not sure how? Volunteer to become a YAM board member! Will be having “elections” on 2/24 (note change in date) to appoint:

  • President
  • Vice-president/events coordiator
  • Treasurer
  • Secretary
  • Facilities Coordinator
  • Publicity Coordinator

See below for full description of the duties of each board member…

President

The following duties are to be completed by the president or a person the president appoints to act on his/her behalf

1.      Provides support and assistance to other group leaders to make sure their duties are completed

2.      Casts deciding vote in event of a deadlock and makes executive last-minute decisions when needed

3.      Meets with Paul, the Youth Ministry Coordinator, to review plans and needs.

4.      Organizes board meetings at least once a month or as needed

5.      Organizes election process for the upcoming term (held in Feb and Aug)

6.      Does research how to run young adult ministry, events, etc.

7.      Works directly with all other officers.

 

Vice-President (AKA Events Coordinator)

The following duties are to be completed by the vice-president or a person the vice- president appoints to act on his/her behalf

1.      Ensures there is at least one social or service event planned every month

2.      Work with secretary to keep up calendar of special events

3.       Works in conjunction with the publicity coordinator to publicizes events at least 2 weeks in advance

4.      Works in conjunction with facilities coordinator to confirm arrangements for events, as needed, at least 3 days in advance (e.g. reservations, transportation)

5.      Works with Treasurer to obtain funds for events, if needed.

6.      Elicits feedback from the group on what type of events to plan.

7.      Posts highlights of events, including pictures, on the group website.

Treasurer

The following duties are to be completed by the treasurer or a person the treasurer appoints to act on his/her behalf

1.      Works with vice-president and publicity officer to conduct a YAM fundraising drive quarterly, or more often if needed

2.      Counts and records amount of money collected at fundraisers

3.      Deposits funds with parish accountant, Vickie.

4.      Collects reimbursement forms and reimburses members from group fund as needed/voted on by group

5.      Prepares quarterly report on income/spending and posts it on the website.

 

Secretary

The following duties are to be completed by the secretary or a person the secretary appoints to act on his/her behalf

1.      Writes a brief summary on the website of what happens at each weekly meeting (including topic, key points/highlights, and number of people in attendance)

2.      Takes detailed notes during planning or other meetings and posts them on the website

3.      Ensures facilitators are signed up to lead Tuesday meetings

4.      Works with vice-president to keep a calendar of facilitators for Tuesday meetings

5.      Works with all other officers to send group emails as needed. (all board members may have access to group e-mail address)

Facilities Coordinator (AKA Key Keeper)

The following duties are to be completed by the facilities coordinator or a person the facilities coordinator appoints to act on his/her behalf

1.      Gets room key from the rectory office during “business” hours and returns the key to the rectory after the meeting Tuesday meeting.

2.      Ensures weekly and planning meetings start and end on time.

3.      Works with secretary to arrange refreshments for the weekly meetings

4.      Works with vice-president to confirm logistical arrangements

Publicity Coordinator

The following duties are to be completed by the publicity coordinator or a person the publicity coordinator appoints to act on his/her behalf

1.      Works with vice-president to publicize events on website, e-mails, St Luke’s bulletin, etc.

2.      Publicizes group and encourages membership within parish and in other areas (e.g. other parishes, Catholic radio, local college campuses, etc.)

3.      Ensures new members are welcomed and introduced to others

 

 

Please Note:

1. These positions will each have a six month term; leaders have the right to resign if needed before the 6 months are up
2. All elected must commit to meeting at least one per month after a short regular YAM meeting
3. Duties and positions will be evaluated as needed and before each election
